Responsibilities

Overview

Responsible for assisting in the organization and execution of internal and external communications across all departments of the Kalamazoo Country Club. This individual will play a vital role in keeping our communication streamlined, accurate, and timely, ensuring an exceptional experience for both our members and our team. This internship is ideal for a student studying Communications, Marketing, Hospitality Management, or a related field who thrives in a dynamic, hands-on environment and enjoys wearing multiple hats.

What You’ll Be Doing

May include but not limited to:

Communications Coordination:

Gather, organize, and maintain all communication materials from various departments
Build and manage a centralized communications timeline/calendar
Ensure consistency and accuracy in all outward-facing member communications

Website Oversight:

Routinely check for accuracy, outdated information, and usability issues
Coordinate with appropriate departments for content updates

Member Texting System:

Respond to member inquiries and "zingles" in a timely, professional manner
Review and maintain accuracy of auto-responses and system messages

Member Engagement & Recognition:

Monitor and report on unspent food and beverage minimums
Prepare and send birthday cards for members
Assist in distribution of member guides and event follow-up surveys

Team Member Engagement:

Coordinate birthday and work anniversary recognition for staff
Support ongoing team morale and recognition efforts

Administrative Support:

Maintain and update the KCC Master Calendar
Prepare and organize post-event wrap-up documents
Reset member website passwords upon request
Print and distribute updated menus and flyers throughout the clubhouse
Rotate marketing materials and event flyers as needed

Qualifications

What You Need for this Position

Currently enrolled in a college or university program, preferably in Communications, Marketing, Hospitality, or related field
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Proficiency with Microsoft Office, Google Suite, and basic website CMS platforms
Friendly, professional demeanor with a willingness to learn
Ability to manage multiple projects and deadlines independently
Flexible and adaptable with a "team-first" mindset
